The right document package depends on the product and project. This checklist is not an approval standard. It is a practical way to organize requests, see what has been received and keep missing information visible.

Choose a topic for a practical explanation, the decisions it affects and the information needed to move forward.

Company and factory records

Legal registration, ownership, factory address, contracting entity, export entity, contacts, production capability, quality organization and relevant references.

Product definition and materials

Current model, drawings, dimensions, weights, specifications, bill of materials, options, operating limits, installation instructions, material grades, component models and approved substitutions.

Testing and certification records

Underlying reports, scope, tested model, issuing body, dates, surveillance or expiry information, limitations and evidence that the supplied configuration matches what was tested.

Quality and traceability

Incoming inspection, in-process checks, final tests, non-conformance handling, corrective actions, photographs, serial or batch records and agreed inspection points.

Logistics, installation and service

Packing method, lifting points, transport limits, receiving instructions, installation sequence, required tools and trades, commissioning, warranty, spare parts, manuals and service contacts.

Use a simple status system

Mark each item as requested, received, under review, accepted for the current purpose, revision required, expired or not applicable. Received is not the same as reviewed and suitable.
